1. Membership
1.1 Membership of the Best Western Gold Crown Club International Programme ("the Programme") is subject to the following conditions together with the full terms and conditions of trading of Interchange and Consort Hotels Limited trading as Best Western Hotels ("our", "us", and "we"). Copies of these can be found on our website (www.bestwestern.co.uk). Alternatively, if you would like us to send you a copy, please write to us at Best Western Hotels, Amy Johnson Way, Clifton Moor, York, YO30 4GP.
1.2 "Rewards Suppliers" include all suppliers of rewards except us or any of our hotel members. Your contract for the rewards offered under the Programme will, in the case of accommodation at any of our member hotels be between you and us, and in the case of any other reward, be between you and the respective Reward Supplier. Our full terms and conditions of trading or the terms and conditions of the Reward Supplier in question (which can be found on www.goldcrownclub.co.uk) will apply to that contract as applicable. The Reward Supplier's terms and conditions may limit and/or exclude the Reward Supplier's liability to you. You should read these carefully prior to taking up the reward in question. We act only as the agent of the Reward Suppliers in relation to all rewards offered and run under the Programme.
1.3 We reserve the right at our discretion to refuse any application for membership.
1.4 With the exception of advances purchase rates, selected promotional rates and 2-night break packages, you may use your membership card in Great Britain to guarantee accommodation at a Best Western hotel without having to make any payment at the time of booking. To obtain this benefit you must make your booking by telephoning our central reservations department on 0800 75 75 75. Payment for these bookings must be made on checkout of the hotel at the end of your stay. For advances purchase rates, selected promotional rates and 2-night break packages reservations, payment in full will be required at the time of booking.
1.5 Cancellation charges apply to "no shows" and cancellations. For full details see our full terms and conditions.
2. Points
2.1 You must present your membership card at check-in and when settling your bill on checkout of the hotel in order to obtain your points. Points cannot be awarded retrospectively.
2.2 Ten points are awarded for every US$1 (equivalent to approximately 52 British pence from 1st January 2008) spent at Best Western hotels in Great Britain and will be awarded in accordance with 2.5 and subject to 2.6.
2.3 You can only earn points if you (the member) have made and paid for the booking and actually stay at the hotel which is the subject of the booking. Points cannot be earned on your (the member's) behalf. For corporate bookings points are earned on all invoices remitted to the member company, subject to 2.5 and 2.6.
2.3 The earning of points at any Best Western hotel outside Great Britain is subject to the Best Western GCCI Programme membership terms and conditions applicable in the country in which the hotel concerned is located. These may differ from the terms and conditions set out here. Points earned at any Best Western hotel outside Great Britain will not be registered on your account until 28 days after your stay. You must check at the time of booking how points can be earned at any Best Western hotel outside Great Britain.
2.5 Subject to 2.6 below points may be earned in relation to the following bookings in GB:
a) Best Available Rate
b) Advanced Purchase Rate
c) Getaway Break Rates
d) Weekend Saver Rate
e) Best Business Worldwide
f) Chain and Consortia Rates
g) Activity Breaks
h) Golf Break Package Rates
i) Christmas and New Year Break Package Rates
j) Travel Card when used as method of payment at hotel
k) Meals in restaurant*
* When a member stays on an "ineligible rate" (see point 2.6), points can still be earned on money spent when dining in the hotel restaurant (not applicable on bar meals). To earn points on the entire restaurant bill, the member must pay for the entire restaurant bill, not just their own meal. The list detailed above is not intended to be an exhaustive list. You must check on the availability of points for any booking at the time of making your reservation.
2.6 Points cannot be earned in relation to the following bookings:
a) Employee discounts/agency discounted rates
b) All Best Western voucher programmes (Advance, FIT and purchased Travel Card)
c) Wedding parties, leisure group bookings (12 or more people), leisure club membership, and non-hotel related services (e.g. flowers, etc.)
d) Prepaid UK travel agency bookings
e) Local negotiated contracted rates
f) Promotional rates - where specifically excluded in Best Western offers and promotions
g) Ancillary products (e.g. rail travel, attraction tickets, golf, activities, etc.)
h) Any additional spend which is not included on your hotel bill (e.g. bar bill, bar meals, laundry bill, etc.)
i) Government rates
j) Meetings and conferences
k) GCCI free night stays
2.7 Points may not be transferred, sold, and/or assigned by you unless expressly permitted by us in writing.
2.8 Points may not be redeemed for cash and shall have no cash value.
2.9 In order to retain all points you have earned on an eligible rate but which you have not yet spent, you must stay at a Best Western hotel no more than 12 months after your previous stay. Failure to do so will result in your points being cancelled by us.
2.10 Your membership card cannot be used in conjunction with any other loyalty programme or offer which we may introduce from time to time.
2.11 All offers and rewards are subject to availability.
2.12 You will receive a statement from us quarterly showing your then current points balance. Please check this statement and any other document you receive from us carefully as soon as you receive it. Contact us immediately if any information, which appears on the statement, or any other document appears to be incorrect or incomplete, as it may not be possible to make changes later. We regret we cannot accept any liability if we are not notified of any inaccuracies in any document within six months of our sending it out (including proof of purchase of stay).
3. Elite Tiers
a) Platinum Membership
When a member has stayed 15 nights within a calendar year, membership is automatically upgraded to Platinum membership. Member benefits include 10% bonus points on every eligible stay at all Best Western hotels worldwide.
b) Diamond Membership
When a member has stayed 30 nights within a calendar year, membership is automatically upgraded to Diamond membership. Member benefits include 15% bonus points on every eligible stay at all Best Western hotels worldwide.
c) Membership Benefits
Benefits for members can vary between countries. Please check member benefits when making your booking. In order to ensure you receive your regular points and bonus points, you must present your card at reception at check-in and checkout. For membership at Platinum and Diamond level to be renewed, 15 (Platinum) or 30 (Diamond) nights retrospectively must be achieved within a calendar year. Membership is confirmed by the issuing of a new membership card by Best Western Hotels. Best Western Hotels reserves the right at any time to change the benefits for Platinum and Diamond members.
4. Services & Recognition
All GCCI members are entitled to a selection of the following services and recognition at a Best Western Hotel in Great Britain. All services are subject to availability and services may vary between hotels.
4.1 Room upgrades
4.11 Complimentary room upgrades are only available at Best Western hotels in Great Britain, are made at the absolute discretion of the Best Western hotel concerned.
4.12 If you wish to upgrade your room, you must make the request on your arrival at the hotel.
4.13 Getaway Breaks bookings are not eligible for complimentary room upgrades.
4.14 Room upgrades are not available on free night awards.
4.2 Welcome letter

4.51 The price paid is based on the single person occupancy rate of a twin or double room. If the hotel offers full English breakfast as part of the meal plan then the second person staying will be charged for the same meal plan. (Continental breakfast available only at most hotels within the London region)
4.52 For every paying guest, his or her partner must stay the same number of nights as the paying guest
4.53 Partners must share the same twin or double room as the paying guest.
5. Warranty
5.1 We make no representation and give no warranty in respect of any rewards and/or the goods and/or services which form the basis of any of the rewards supplied by any Rewards Supplier. Please see 1.3.
6. Variation and Termination
6.1 We reserve the right to amend or terminate the Programme at any time by giving three (3) months' written notice to you. On expiry of the three months notice period all points not then spent by you at that time will be cancelled and you will not be able to use them to obtain rewards. No cash payments will be made in respect of any cancelled points. Please see 2.8.
6.2 We reserve the right to immediately transfer your rights under the Programme to any other loyalty programme operated by us by giving you written notice of such transfer. Any such transfer will not affect any rewards you may have secured using your points but not yet partaken of prior to such transfer.
6.3 We reserve the right to terminate your membership if, in our opinion, you commit any act, or fail to carry out any act, which we feel represents an act of fraud, misconduct, abuse, breach of these conditions or our full terms and conditions of trading, or any other act which we deem inappropriate for a member of the Programme, by giving you seven days notice in writing.
6.4 If we terminate your membership pursuant to clause 6.3, all points which you have accrued, will be immediately cancelled.
6.5 You can terminate your membership at any time by advising us in writing. Any points you have earned, but not yet redeemed at the time of termination, will be held in your account until such times as you have redeemed them or until the expiry of three months from the date we receive your written notification, whichever is the sooner. On the expiry of three months from the date we receive your written notice of termination any unspent points remaining in your account will be cancelled.
7. Data Protection
7.1 We are a Data controller for the purposes of the Data Protection Act 1998. By applying for membership you consent to us processing the personal details you give on your enrolment form in order that we can provide you with the benefits of membership. Please contact our customer services' department who will be happy to send you a copy of this or visit our website at www.goldcrownclub.co.uk for full details of our Data Protection and Privacy Policy.
8. Limitation of Our liability
8.1 Nothing in these Conditions or our full Terms and Conditions of trading shall exclude or limit our liability for any death or any personal injury caused by our negligence or that of our employees providing they were at the time acting within the course of their employment with us.
8.2 We shall have no liability whatsoever in relation to any contract you enter into with any Rewards Supplier or for any acts or omissions of any Rewards Supplier. Our full liability in relation to any contract you enter into for accommodation at any of our member hotels (i.e. Best Western hotels) will be as set out in our full Terms and Conditions of trading - see clause 1.1.
8.3 We shall not be liable to you if for any reason beyond our control, including but without limitation an event of force majeure, you are prevented from accessing any rights detailed under the Programme.
8.4 We shall not be liable for any taxes/fees and all other charges which you may incur or be required to pay as a result of any reward obtained by you under the Programme.
9. General
9.1 You must not without our prior written consent assign or transfer your membership or any part of it to any other person. We may without your prior consent assign, transfer, or subcontract your membership contract with us or any part of it to any other entity.
9.2 These conditions and the Programme shall be governed by and construed in accordance with the laws of England and you agree to submit to the exclusive jurisdiction of the English courts.
9.3 All information about the Programme is correct as of October 2007.
Free Nights Terms and Conditions
1 Gold Crown Club International ("GCCI") terms of membership and our current booking conditions are available on request or can be found at www.goldcrownclub.co.uk. These terms and conditions limit and exclude our liability to you.
2 The number of GCCI points required in exchange for one night's accommodation at each participating hotel can be found at www.goldcrownclub.co.uk, or in our 2006 UK Hotel Guide Great Britain. The rates (in points) shown are for two adults sharing a standard twin or double room and include breakfast.
3 If you need to cancel or amend a confirmed booking, cash cancellation/amendment charges may be payable. Please see full terms and conditions for details. If a booking is cancelled or made but not taken, your free night points will not be refunded.
4 All bookings are subject to availability.
5 Complimentary room upgrades will not be given in respect of bookings against which GCCI points are redeemed and GCCI members redeeming points against bookings will not be entitled to the benefits of any other offers which would otherwise be applicable.
6 GCCI points cannot be used against incidental expenses such as bar bills, room service etc or meals (except breakfast as stated above).
7 Information is correct as of 1st May 2006. Changes and errors may occur. Please check at the time of booking. Best Western reserves the right to change hotels and their categories without prior notice.
Points Plus Additional Terms and Conditions
1 Gold Crown Club International ("GCCI") members may spend 8000 points plus a monetary payment to "top up" the free night category, i.e. for a 16,000 point hotel, a member can spend 8000 points plus £28. Members cannot redeem less or more than 8000 points in order to reduce or increase the amount of the monetary top up. There are six categories for GCCI members to choose from as follows. These are - 8000 points plus: £28 (16,000 points hotel); £42 (20,000 points hotel); £55 (24,000 points hotel); £68 (28,000 points hotel); £82 (32,000 points hotel) and £96 (36,000 points hotel).
2 The Points Plus break is for two adults sharing a standard twin or double room and includes breakfast.
3 If there is not 8000 points available in your GCCI account when you check out of the hotel then you will be required to pay the hotel's published rate.
4 All Points Plus bookings must be made through Best Western Central Reservations on 0800 75 75 75 however payment (including the deduction of your 8000 points) will be taken by the hotel at check out.
Fine Wines Terms and Conditions
1 There is no restriction on the number of cases that can be ordered during the offer period.
2 If you are dissatisfied for any reason, contact Gold Crown Club International to arrange a replacement or refund.
3 Please allow up to a maximum of 28 working days for delivery from date of request.
4 The carrier requires a signature on delivery.
5 Any loss or damage to packages left as per customer instructions shall remain the liability of the customer.
6 We are unable to offer advance warning of delivery date. Wine orders cannot be cancelled.
7 Wines are ready for drinking and will last for 12-18 months. We reserve the right to substitute with products of equal or greater value. Vintages will follow on, unless advised otherwise.
8 This offer is a Direct Wines promotion.
Golf Reward Terms and Conditions
1 One round of golf (18 holes) or 2 rounds of golf (9 holes) is available for the GCCI member in exchange for 4000 Gold Crown Club International (GCCI) points.
2 More than one round of golf can be arranged. The GCCI guest can either redeem an additional 4000 points or pay in cash directly to the hotel. Additional rounds can be enjoyed by the GCCI member or their guest(s).
3 All golf sessions are subject to hotel availability and only available at participating hotels in Great Britain. Golf reward may be restricted to weekend or mid week availability, please check participation listing on www.goldcrownclub.co.uk
4 GCCI guests must advise at time of booking that they wish to redeem 4000 points for a round of golf during their stay. All golf sessions must be booked directly with the hotel in advance of stay.
5 Golf rewards ca be booked with any rate plan or during a free night reward, subject to the availability of the hotel.

Spa Reward Terms and Conditions
1 One head massage or one manicure (Spa Rewards) is available for the GCCI member in exchange for 4000 Gold Crown Club International (GCCI) points.
2 More than one spa reward can be enjoyed at any one time. GCCI guest can redeem additional 4000 points if they wish their guest to enjoy spa rewards at the same time.
3 Additional treatments for the GCCI member or their guest(s) can be arranged and must be paid in full directly to the hotel.

Getaway Break Prize Draw Terms and Conditions
1 The prize draw is open to all residents of the UK, Isle of Man and Channel Islands excluding employees of Best Western and their immediate families, agents or anyone professionally connected with the promotion. All entrants must be over the age of 18.
2 No purchase is necessary. One entry for every booking will be made.
3 All booking and no purchase entries must be received by 8th January 2008.
4 Prize winner/s will be notified within 28 days of the closing date. The names and home county of the prize winners will be made available after the closing date to those enclosing a SAE to the draw address in an envelope marked “December GCCI Email/Best Western Winners”.
